Faster invoice and receipt data entry on Mac
For accountants, bookkeepers, and finance teams: keep the source document floating above QuickBooks, Xero, or Excel while you type — and OCR the numbers instead of retyping them.
Updated October 6, 2026
The problem: data entry on a Mac means flipping between the PDF and the ledger — ⌘Tab, read a number, ⌘Tab, type it, lose your place, repeat. On a laptop with no second monitor, tiling two windows makes both too small to read.
The fix: FloatSnap captures just the part of the document you need and floats it above every window. Type into your accounting software underneath it. Right-click to OCR an amount straight to the clipboard. Click to dismiss. $5 once.
How it works in a bookkeeping workflow
- Open the source document — the vendor invoice PDF, a receipt photo, a bank statement, a remittance email.
- Press ⌘⇧9 and drag over the part you need: the line items, the totals block, the transaction list.
- Switch to QuickBooks, Xero, or Excel. The capture keeps floating above it. Drag it beside the fields you're filling in, and resize it so it's readable.
- Type — or OCR. Right-click → Scan Text (OCR) → box the invoice number or amount → paste. Great for long reference numbers, IBANs, and addresses where one typo costs you an hour later.
- Click to dismiss and move to the next document. Nothing is saved, so there's no folder of client screenshots to clean up.
Common finance tasks
Entering vendor bills and invoices
Float the invoice header (vendor, invoice #, date, due date) and the totals block as two separate floaters, positioned next to the bill form in QuickBooks or Xero. Every field you need is visible at once.
Bank reconciliation
Capture a page of the bank statement and float it over the reconciliation screen. Tick off transactions without switching windows. Use the highlighter to mark lines you've matched.
Expense reports from receipts
Open a receipt image, float the total and merchant, and fill in your expense tool. OCR pulls the amount so you don't have to squint at thermal-paper print.
Spreadsheet work
Pin a reference table — a chart of accounts, a tax rate table, last month's figures — above Excel or Numbers while you build this month's sheet.
Copying between systems
Moving data from a client portal, an old system, or a PDF that won't let you select text? Float it and OCR field by field. See how to copy text from a screenshot on Mac.
Built for confidential data
Client financial data shouldn't pass through someone else's servers just so you can see it on screen. FloatSnap was designed so it can't:
- Nothing stored. Captures exist only on screen until you dismiss, copy, or save them. No hidden library, no screenshot history.
- Nothing uploaded. Capture, annotation, and OCR all run locally. OCR uses Apple's on-device Vision framework.
- No account, no analytics, no cloud. The only network call is a one-time license activation. Details in the privacy policy.
That makes it a simpler conversation with your IT person or your firm's data-handling policy than cloud-synced screenshot tools. (As always, follow your own firm's rules.)
Works with any accounting software
FloatSnap doesn't plug into anything — it floats above everything. That means it works with QuickBooks Online, QuickBooks Desktop for Mac, Xero, FreshBooks, Wave, Sage, NetSuite, Bill.com, Excel, Numbers, Google Sheets, and any web portal, today and after the next redesign.
Frequently asked questions
Is FloatSnap safe for confidential client financial data?
The app is 100% local: screenshots are never stored or uploaded, OCR runs on-device, and there's no account, analytics, or cloud component. The only network call is license activation.
Does it work with QuickBooks Online, Xero, and Excel?
Yes. It floats a screenshot above whatever app you're using, so it works with any accounting or spreadsheet software, desktop or browser-based.
Can FloatSnap OCR invoice amounts?
Yes. Right-click → Scan Text (OCR) → box the amount, invoice number, or account number → paste. Glance at financial figures after OCR, as with any recognition tool.
Can I buy it for my whole team?
Each $5 license activates on up to 5 Macs. For larger teams, email [email protected].
I only have a laptop. Will this help?
That's where it helps most. A floating screenshot works like a small second monitor. More in how to work on a Mac without a second monitor.
